A practice that works is a practice that has more going on than one person can hold in their head. That is what working looks like, and it arrives without warning.
The client work is not the problem. The problem is the layer underneath it. Payment lands and a record has to be created. A booking is made and a brief has to be assembled. A session happens and the notes have to be filed against the right person. An email arrives and it has to end up somewhere findable.
None of that is hard. All of it is yours, and every hour of it is an hour you did not bill and did not price for.
What it costs to leave it
It puts a ceiling on the practice, and the ceiling is lower than your capability.
You are not turning work away because you cannot do it. You are turning it away because the fifteenth client costs the same admin as the first fourteen combined, and there is nowhere left in the week for it.
The second cost is the one nobody counts. The admin is the work you do at the end of the day, when you are tired and the good thinking is gone. So it does not just take your hours. It takes your worst ones and it makes every day end badly.
Your client and session management, live and tested. Four flows.

The same four for everyone, and together they are what client and session management means. A fifth flow is a change request and is priced separately.
Built on Claude Code
Claude Code is the basis. Everything else is interchangeable as long as it connects to it.
I am not recommending something I read about. This is the setup I run my own practice on, and I have built it sixteen times against a house standard, which is why it takes me days rather than the months it would take you from zero.
That is the whole argument for having it built rather than building it. Not that you could not. That you would be six months in, most of the way through, and still holding the running of it yourself.
The second half matters as much as the first. It is built for you and then taught to you. An install you cannot operate is a dependency, and a dependency is the thing this is supposed to remove.
The Install or the Rig
The Install: I build it one to one. Starting from CHF 4,000.
The Rig: you build it yourself, in a small group, over twelve weeks. CHF 2,500.
The Install costs you money and leaves you with the thing. The Rig costs you time and leaves you with the knowledge.
Who this is not for
Anyone who has not started yet. There is nothing to automate, and automating an empty practice is the most expensive way there is to avoid selling.
Anyone who wants to understand every part of it. That is the Rig, and it is cheaper.
Anyone looking for a person to hand it all to permanently. This ends with you running it.
